Ad-hoc is Latin for “as the occasion requires.” In a strict sense, an ad hoc report is a report that is created on the fly, displaying information in a table or a chart that is the result of a question that has not already been codified in a production report. There is a limit to the number of such production reports and business questions that can be anticipated and coded in advance so that users can consult them whenever they want. In a broad sense, ad hoc reporting is just a way to answer unanticipated questions.

As our University is expanding, the questions our staff want to ask of their data are always changing, so any reporting process needs to accommodate the creation and running of ad hoc reports. Making that an easy process for the average business user is key and we are on way to mature it everyday.

Not all the needs of ad hoc reporting are the same. Sometimes, the users are looking for a new report that can be repeatedly used in the future. Other times, the need is simply a one-off query to extract a data set.

Process description:

  1. Request Ad Hoc Report: Using the Business Intelligence Request Form, individuals or departments can request the creation of an ad hoc report or a dashboard to visualize their data.
  2. Schedule and perform assessment: A PPMO Team member will contact the request owners back shortly to set up an appointment to conduct an interview for the ad-hoc report.
  3. Provide feedback: After the interview, the PPMO Team will deliver a feedback package with the following elements
    • Executive summary: A short memo providing an overview of all the details of the datasets and the requested report criteria.
    • Assumptions: Record of assumptions in the cases of unknown or unreliable sources.
    • Report/Dashboard: The report will include a PDF version downloadable from a location that’s made available.
